Voxly is a product of Ottoleads Systems LLC (Wyoming, United States), responsible for the processing of the data described here. For any privacy matter, write to us at [email protected].
This document explains what data we collect, what for, who we share it with, and what control you have over it. It’s written to be understood, not to hide behind legalese.
1. The essentials, in four points
- Your audio is not stored. The audio you dictate is sent for transcription and discarded once it’s done. We don’t store it and we can’t retrieve it.
- Your dictations are not stored on our servers. Your history lives on your phone. If you delete the app, it goes with you.
- We don’t train models on what you dictate, neither we nor our providers.
- We don’t sell your data, to anyone, under any circumstances.
2. What data we collect
Account data (what you give us). Name and, if you choose to provide them, last name and phone number. Email address. Password, which is stored encrypted and that no one on our team can read. If you sign up with Google, we receive your name and email from that account, never your Google password. Optionally, how you heard about us.
Usage data. The number of words you dictate each day. We use these to enforce your plan’s limits and so you can see your usage. We don’t store the content of what you dictate, only how many words it was.
Subscription data. Your plan, your subscription status, and the identifiers Stripe returns to us. We never see or store your card data: Stripe handles that directly.
Data that stays on your phone and never reaches us. Your dictation history, your personal dictionary, your tone and bubble preferences. All of that lives on your device.
Audio. Processed as explained in section 4 and not retained.
3. The app’s permissions, explained
Microphone. Activated only while you hold down to dictate. Voxly does not listen in the background or record without you starting it.
Accessibility. Voxly uses it for three specific things: pasting the dictated text into the field where you’re typing, knowing which app you’re in to adjust the tone, and detecting if you correct a word just pasted so it can offer to save it to your dictionary. Voxly does not read passwords or hidden fields, does not capture your screen, and does not send what’s on it to any server. In bank-compatible mode, the system restricts the service to messaging, email, social media, notes, and browsers.

Notifications. For Android’s mandatory notice while the bubble is active.
4. How your voice is processed
When you release the dictate button, this happens:
- The recorded audio travels encrypted to our server.
- It’s sent to Groq to convert it into text.
- The text is sent to Anthropic to clean it up and apply the tone you chose.
- The resulting text comes back to your phone.
- The audio is discarded. Our database keeps only the word count.
Groq and Anthropic process this data as our providers, under contract, and do not use it to train their models.
5. What we use your data for
To provide the service and return your text to you; to manage your account and enforce your plan’s limits; to bill you if you’re Pro; to send you operational emails (account confirmation, password reset, billing notices); to prevent abuse and fraud; and to comply with the law when applicable.
If you subscribed to our newsletter, we use your name and email only for that, and you can unsubscribe at any time from within the email itself.
We do not use your data for targeted advertising nor do we share it with advertisers.
6. Legal basis (users in the European Economic Area and the United Kingdom)
We process your data to perform the contract with you (providing the service and billing you), on the basis of legitimate interest (security, abuse prevention, product improvement without using your content), with your consent (newsletter, which you can withdraw whenever you want), and to comply with legal obligations (accounting, valid requests from authorities).
7. Who we share data with
Only with providers necessary for the product to work:

We may also disclose information if the law requires us to, to protect our rights or those of third parties, or as part of a merger or acquisition, in which case we would notify you.
We do not sell or rent personal data, nor do we share it for behavioral advertising between companies.
8. How long we retain data
Audio, not at all: it’s discarded after transcription. Your account data, for as long as the account exists. The usage count, up to 24 months, so we can show you your usage history. Billing records, for as long as tax law requires (typically up to 7 years). When you delete your account, we erase your personal data within a maximum of 30 days, except for what we must retain due to a legal obligation.
9. Your rights
You can ask us at any time to: access your data, correct it, delete it, object to a processing activity, restrict it, receive a copy in a portable format, and withdraw your consent when the processing is based on it.
Write to us at [email protected]. We respond within a maximum of 30 days. We will not treat you worse for exercising your rights.
To delete your account you do not need to write to us: you can do it yourself at govoxly.app/en/delete-account or from the app itself, under Account → Delete my account. It is immediate and cancels your subscription if you have one.
If you’re in the EEA or the UK, you also have the right to lodge a complaint with your data protection authority.
If you’re in California, you have the right to know what information we collect and who we share it with, to request its deletion or correction, and to not suffer discrimination for exercising these rights. In the past twelve months we have not sold or shared personal information as defined by the CCPA/CPRA.
If you’re in Mexico, you can exercise your access, rectification, cancellation and objection (ARCO) rights through the same channel.
10. International transfers
Ottoleads Systems LLC operates from the United States and our providers may process data there and in other countries. When we transfer data from the EEA or the UK, we do so under recognized mechanisms, such as the European Commission’s Standard Contractual Clauses.
11. Security
We encrypt communications in transit (TLS) and data at rest. Passwords are stored with hashing functions, never in plaintext. Internal access is restricted to those who need it. In the app, your keys and session are stored in the system’s encrypted storage. No system is infallible; if a breach affecting you were to occur, we would notify you as required by applicable law.
12. Minors
Voxly is not directed at children under 13, or under 16 in the EEA and the UK. We do not knowingly collect data from minors of those ages. If we detect such an account, we will delete it. If you are a parent or guardian and believe a minor gave us their data, write to us.
13. Changes
If we make a material change to this notice, we’ll update the header date and notify you by email or within the product before the change takes effect.
